Analysis Users
An Analysis User is a license type for people who only need to look at results. They can analyze the surveys and dashboards that have been shared with them, but they cannot build surveys, collect responses or use the account's other features. This makes them a good fit for stakeholders who need to see the data without being able to change anything.
Analysis Users have their own pool of licenses, separate from your Full User limit, so you can give colleagues read-only access to results without using up a Full User seat.
Who can use Analysis Users
Analysis Users are available on accounts that have the Analysis Users feature enabled. If your account has it, you will see an Analysis User option under License Type when you invite a user, and an Analysis users count alongside your Full users count on the Users page.
If you have reached your Analysis User limit, the Analysis User option is shown as Analysis User Limit Reached and cannot be selected. Click Increase User Limit to add more.
What an Analysis User can do
An Analysis User can:
- Open the Analyze section of any survey that has been shared with them, with full access to the reporting, filtering and export tools in that section
- View dashboards that have been shared with them, and edit them if they have sufficient permissions
- Manage their own profile and login details
An Analysis User cannot:
- Create, copy or import surveys
- Access Build, Collect or Automate on any survey, even if those permissions were ticked when the survey was shared
- Use the Question Library, File Library or Themes
- Access Contacts, Cases, Consultations, Reputation Management or Workflows
- Manage other users, or view billing and plan settings
Inviting an Analysis User
- Go to the Users page from the Account (portrait) drop-down, or click Invite Users on your Home page
- Click Invite User +
- Choose Add a single user or Add multiple users and enter the user's details, as described in Adding User Accounts
- Under License Type, select Analysis User
- Choose an Invitation Method and click Invite User (or Send Invites if you are inviting several people)
If you want the Analysis User to be able to see specific surveys or dashboards as soon as they sign in, you can choose them as part of the invitation. See Inviting Users with Access.
Sharing surveys and dashboards with an Analysis User
Once an Analysis User has accepted their invitation, they will not see any surveys until something has been shared with them.
To share a survey, open the user's Permissions tab from the Users page and add the surveys they should be able to see. Any permission you grant to an Analysis User is treated as Analyze only. Dashboards shared with an Analysis User are always read-only.
Changing a user's license type
You can switch an existing user to or from an Analysis User license from their Overview page.
- Go to the Users page and click the user's name
- On the Overview tab, next to License Type, click Change Type
- Select the new license type from the drop-down
- Click Save Changes
Note — Changing a user to a Full User license locks their license type for 90 days. During that period the Change Type options are greyed out and show the date the lock ends. If the Analysis User pool or Full User pool is full, that option is shown as locked with Analysis User Limit Reached or User Limit Reached.
Feature permissions for Analysis Users
Because an Analysis User cannot use paid features, almost all of the feature permissions on their Overview page are unavailable and the page shows a notice explaining this. The one exception is AutoCategorise, which can be switched on or off for an Analysis User so that they can see automatically categorized text responses in Analyze.
